Last updated: [DATE]
Your privacy matters to us. This policy explains what personal information Theraneutix collects when you visit our website, book and pay for a session, or visit our centre, and how we use and protect it in line with the Protection of Personal Information Act 4 of 2013 (POPIA).
1. Who we are
Theraneutix is a frequency-based wellness centre operated by [REGISTERED BUSINESS NAME] (registration number [REG NO]), located at 688 Venezia Place, Copperleaf Estate, Centurion, South Africa. In this policy, “we”, “us” and “our” refer to Theraneutix.
Our Information Officer is [NAME], who can be reached at sync@theraneutix.com.
2. What this policy covers
This policy applies to personal information we collect through our website, our online booking and payment system, email, WhatsApp, social media and in person at our centre.
3. Information we collect
Information you give us
- Identity and contact details - your name, email address, phone or WhatsApp number.
- Booking details - the programme and treatment room you choose, dates, times, number of guests and any notes you add.
- Health and wellbeing information - information you choose to share so we can tailor your session safely, such as relevant health conditions, medical devices or pregnancy. This is special personal information, and we only process it with your consent.
- Communications - messages you send us by email, WhatsApp, social media or our website.
Information collected automatically
- Technical information such as your IP address, browser type, device and pages visited, collected through cookies and similar technologies (see section 11).
Payment information
Online payments are processed by our third-party payment provider, [PAYMENT PROVIDER]. We do not see or store your full card details. We receive confirmation of payment, the amount, the date and a transaction reference.
4. How we use your information
- To take, confirm, manage and remind you of your bookings.
- To process payments, refunds and invoices.
- To prepare a safe, personalised session for you.
- To respond to your questions and requests.
- To arrange access to Copperleaf Estate where required for your visit.
- To improve our website, services and customer experience.
- To send you news and offers, only if you have agreed to receive them.
- To meet our legal, tax and accounting obligations.
We process your information because it is necessary to provide the services you book, because you have consented, because the law requires it, or because it is in our legitimate interest to run and improve our business, in a way that respects your rights.
5. Online bookings and payments
When you book and pay online, your booking details are handled by our booking system, [BOOKING PLUGIN / PLATFORM], and your payment is processed securely by [PAYMENT PROVIDER] over an encrypted (SSL) connection.
These providers process your information on our behalf, only for the purpose of completing your booking and payment, and are required to keep it secure and confidential. The payment provider’s own privacy policy also applies to the information you give them.
6. Who we share it with
We never sell your personal information. We only share it where necessary with:
- our booking, payment, website hosting, email and IT service providers;
- Copperleaf Estate security, limited to what is needed for gate access;
- our professional advisers, such as accountants and lawyers;
- authorities, where the law requires us to.
Some of our service providers may store information on servers outside South Africa. Where this happens, we make sure the information is protected to a standard similar to POPIA, as the Act requires.
7. Keeping your information safe
We take reasonable technical and organisational measures to protect your information against loss, misuse and unauthorised access, including encrypted connections, access controls and secure third-party payment processing. No system is completely secure, but if a breach affects your personal information, we will notify you and the Information Regulator as required by law.
8. How long we keep it
We keep personal information only for as long as we need it for the purposes above, or as long as the law requires (for example, financial records are kept for at least five years). After that it is securely deleted or anonymised.
9. Your rights
Under POPIA you have the right to:
- ask whether we hold your personal information and request a copy of it;
- ask us to correct or update information that is inaccurate;
- ask us to delete information we no longer need;
- object to certain processing, including direct marketing;
- withdraw your consent at any time, without affecting processing that has already taken place;
- lodge a complaint with the Information Regulator at inforegulator.org.za.
To exercise any of these rights, email sync@theraneutix.com. We may need to confirm your identity before we respond.
10. Marketing
We will only send you newsletters or offers if you have opted in, or if you are an existing client and we are telling you about similar services. Every message includes an easy way to unsubscribe, and you can opt out at any time by contacting us.
11. Cookies
Our website uses cookies to make it work properly, remember your preferences, process bookings and understand how visitors use the site. You can control or delete cookies in your browser settings, although some parts of the website, such as online booking, may not work properly without them.
12. Minors
Our services and online booking are intended for adults. We do not knowingly collect personal information from anyone under 18 without the consent of a parent or legal guardian.
13. Changes to this policy
We may update this policy from time to time. The latest version will always be available on this page, with the date it was last updated.
